Terms and Conditions – Hotel Balka Strand

Welcome to Hotel Balka Strand. When you make a reservation with us, you accept the following terms and conditions. Please read them carefully.

1. Scope of the Agreement

These terms and conditions apply to all bookings made by individuals at Hotel Balka Strand, regardless of whether they are made online, via email, telephone or through third-party travel agencies.

2. Reservation, Deposit and Payment

To confirm a reservation, specific payment deadlines must be met. Failure to meet these deadlines may result in automatic cancellation of your reservation without further notice.

2.1 Booking Confirmation: When you make a reservation, you will receive a confirmation of your booking via email. A binding agreement is entered into when this confirmation is issued.

2.2 Standard Payment Terms:

  • Reservation Fee: Please pay 50% of the total amount for the reservation no later than 2 days after receiving the confirmation.

  • Remaining Amount: The remaining amount must be paid no later than 1 month (30 days) before your planned arrival date.

2.3 Online Booking: If you book online, confirmation and payment are automatic – simple and easy! Depending on the price chosen, full or partial payment may be required at the time of booking.

2.4 Late Booking: For reservations made less than one month before arrival, full payment is required immediately upon confirmation.

3. Cancellation and Changes Made by the Guest

We look forward to welcoming you to Hotel Balka Strand, but we also know that plans sometimes change. Our cancellation rules are designed to be fair to both the guest and the hotel.

3.1 Free Cancellation Period: You can freely cancel your reservation up to 5 days before your planned arrival date (defined as 00:00 CET on the day of arrival).

3.2 Refund Method and Administration Fee: If you cancel within the free cancellation period (see 3.1) and have already paid a reservation fee or the entire amount, this will be refunded to the original payment method.

To cover administration and handling costs, the following non-refundable fee will be deducted from your refund:

  • DKK 500 per hotel room.

  • DKK 1,000 per apartment.

3.3 Late Cancellation and No-Show:

  • In case of cancellation less than 5 days before arrival, or in case of no-show, the entire amount of the reservation will become due and is non-refundable.

  • No refunds are given for early departure or unused nights.

3.4 Changes: Requests to change dates or room types are subject to availability and may incur price changes. Changes made less than 5 days before arrival will be treated as cancellations and are subject to the terms of section 3.3.

4. Check-in and Check-out

  • Check-in: Rooms/apartments are normally available from 3:00 PM on the day of arrival.

  • Check-out: You must vacate your room/apartment by 10:00 AM on the day of departure. Late check-out may incur additional fees.

5. Responsibility and Force Majeure

5.1 Hotel’s Responsibility: Hotel Balka Strand is responsible for damages resulting in injury to life, body or health, which can be attributed to our intent or negligence. For other damages, liability is limited to typical and foreseeable damages based on the total value of the reservation, unless caused by gross negligence or intent. We are not responsible for loss of personal belongings left in rooms or common areas, unless they are stored in the hotel’s safe.

5.2 Guest’s Responsibility: Guests are responsible for any damage to the room, apartment, furniture, equipment or common areas caused by the guest, their guests or pets.

5.3 Force Majeure: The hotel cannot be held liable or offer refunds for non-fulfillment of its obligations if such failure is due to force majeure (including fire, flood, earthquake, storm or other natural disasters), war, invasion, hostile acts, civil war, rebellion, revolution, terrorist activities, nationalization, government sanctions, blockade, embargo, labor dispute, strike, lockout, disruption of electricity or telephone services or pandemics/epidemics preventing travel.

6. Privacy and Data Protection (GDPR and US Legislation)

We respect your privacy. By booking, you agree that Hotel Balka Strand collects and processes your personal data (name, address, email, payment information) for the purpose of managing your reservation and providing hotel services.

  • Guests from the EU: Your data is processed in strict accordance with the General Data Protection Regulation (GDPR). Please see our full privacy policy for details on your rights to access, correct or delete your data.

  • Guests from the USA: We comply with applicable state and federal privacy laws. We do not sell your personal information to third parties.

7. Compliance with ADA (Americans with Disabilities Act - for US guests)

Although Hotel Balka Strand is located in Denmark, we strive to be accessible to all guests. Please contact us directly before booking to discuss specific accessibility requirements for our rooms and common areas, so we can ensure we best meet your needs.

8. Applicable law and venue

8.1 Applicable law: These terms and conditions and the contract between you and Hotel Balka Strand are governed by the laws of the Kingdom of Denmark.

8.2 Venue:

  • For consumers within the EU: Any disputes may be brought before the competent court at the consumer's place of residence or before the competent courts in Denmark.

  • For guests outside the EU (including the USA): You agree that any dispute arising out of or in connection with these terms or your stay shall be settled exclusively by the courts in Rønne, Bornholm, Denmark.
